Save Hard Drive space on the server

To save Hard Drive space on the server I use this method for census data for family members. This is a procedure for entering a new file to link the same media to multiple people.

  • People >> Edit Existing Person, Other Events and Add New.
  • On the admin_editmedia.php page, Edit or Add Media Information.
  • On the admin_editperson.php page, Event Popup window.
  • On the admin_editperson.php page, Citations Popup window.

Section One

on the People >> Edit Existing Person, Other Events: Add New.

  1. Action: Edit button.
    1. Modify Event
    2. Event Type: "Census Name" from Add New Event popup window
    3. Event Date: "Date of Event"
    4. Event Place: "Name of Place of Event"
    5. Detail: I use the Occupation here of head of household
    6. Save
  2. Action: Sources button.
    1. Edit Existing Citation
    2. Source: "Name of Census" - Sxxx
    3. Page: I use this 'example' "Class: RG10; Piece: 3476; Folio: 81; Page: 49 - 50"
    4. Reliability*: "Number of how Reliable Source is"
    5. Citation Date: "Date of Source"
    6. Actual Text:" Place here the transcript of the Census"
    7. Notes: "Any notes you want"
    8. Save

Section Two

On the admin_editmedia.php page, Edit or Add Media Information

Media Information:

  1. Title: "Head of household name"
  2. Description: 1891 England census - Family
  3. Owner/Source: "Original Owner"; I use The National Archives for England and United States National Archives for US census.
  4. Date Taken/Created: "Date of Census"
  5. Always viewable
  6. Save and continue

Example for each type of person on census transcript:

Head of household

[S520] 1901 England Census, The National Archives, (The National Archives)

Class: RG13; Piece: 3207; Folio: 35; Page: 1

(Reliability: 3), 31 Mar 1901.

Title: "Name of :head of household here"

Description: 1891 UK census - family

Wife if married or not head of household

Title: "use wife's name here"

Section Three

Media >> Existing Media Information page:

  1. Media Links: Add the rest of the people on the census transcripts here.
  2. Use the Edit Media Action button for the Edit Media Link popup window.
  3. Event: "Title and date of census" from dropdown menu.
  4. Alternate Title: "Name of person".
  5. alternate Description: 1891 England census - "description of census - remainder of each person's description" = Head of household = Family; Wife = For census see husband "Name of head of household"; Each Child on census = For census see father "Name of head of household"

or Person other than child of head of household, Each non-child that is in your tree and on the census transcript: Father or Mother-in-Law, Niece or Nephew, Brother or Sister, Aunt or Uncle.
