TNG V8 Roles

TNG V8 introduces the following User Roles which can be selected when you add a new user.

  • A Right is something a user may do when they are logged in.
  • A Role is a predefined set of rights, so the list of selected rights (on the right side of the page) will change if you select a different role (the "Allow" rights at the bottom of the column are not affected by a role selection).

You may define your own set of rights for a user by selecting "Custom" as the Role. Some roles imply that the user will be assigned to a tree, while others imply that the user will not be assigned to any tree. The role you select may therefore cause the assigned tree field to become deselected.

Notes on role/rights behavior:

  • when you initially enter the Add User screen, Guest is selected but none of the rights are selected, so you must select the appropriate role to get rights assigned.
  • if you have selected a role and then select rights that match another role, the role will be changed to Custom as an indication that you have customized the TNG role/rights assignment. To avoid confusion in the future, it might be best to select the role that matches the right assignments before customizing.

Guest

Guest is a user who has
  • No add rights
  • No edit rights
  • No delete rights

and thus Guest has no access to the Admin area

Submitter

Submitter is a user who has
  • No add rights
  • Allow to submit edits for administrative review on People, Families, and Sources
  • No delete rights

and thus Submitter also has no access to the Admin area

Contributor

Contributor is a user who can add information to your web site. A Contributor has the following rights:
  • Allow to add new records
  • No edit rights
  • No delete rights

and thus has access to the Admin or Registered Users area of TNG

Media Contributor

Media Contributor is a user who can only add media to your web site. A Media Contributor has the following rights:
  • Allow to add media only
  • No edit rights
  • No delete rights

and thus has access to the Admin or Registered Users area of TNG

Editor

Editor is a user who can edit and delete.

TNG version: 12.0.0

Note: Under Access Limits, the User must be restricted to a Tree or a Tree and branch otherwise the user will have full Administrator access because TNG v12 added Apply the above rights to all trees and branches.

Media Editor

Media Editor is a user who can edit and delete media only

Custom

Custom is a user who has a set of tailored rights.

Administrator

Administrator is a user who has all rights.

Access Limits

Access Limits allow you to limit the rights of the users to a specific Tree or Branch within a Tree.

Allowed Privileges

TNG also has privileges that can be allowed for all roles:

  • Allow to view information for living individuals. See Setup - Privacy for information on controlling access to living individuals
  • Allow to download GEDCOMs. See Setup - Tree for information on prevent anonymous GEDCOM downloads. The Allow to download GEDCOM privilege assigned to a user overrides the Tree option that prevents download.
  • Allow to view LDS information

  • Allow to view information for private individuals. See Setup - Privacy for information on controlling access to individuals marked private.
  • Allow to download PDFs
  • Allow to edit user profile


TNG version: 13.1.0

Added in TNG V13.1

  • Allow to view private notes. Controls who can view private notes, that is those with the secret flag is now controlled separately from the Allow to view private information privilege

TNG Upgrade Role Assignment

The TNG V8 upgrade database script (upgrade_dbxx-800) will assign the roles on existing user records.
